How to Build a Brand Voice That Customers Actually Remember

Brand voice isn't your logo — it's your personality in words
Most brands put enormous effort into visual identity and almost none into verbal identity. But your customers read before they buy. The words you choose, the tone you take, the way you handle humour or seriousness — all of it communicates who you are faster than any colour palette.
Step 1: Define three voice pillars
Pick three adjectives that describe how your brand should sound — not what it sells. Confident, not arrogant. Warm, not gushing. Direct, not blunt. For each pillar, write one sentence that embodies it and one sentence that crosses the line. This gives you guardrails, not a script.
Step 2: Audit your existing copy
Read your product pages, your emails, your social captions out loud. Do they sound like the same brand? If three different people wrote them without a brief, the answer is almost certainly no. Identify where the voice breaks down — those are your highest-priority rewrites.
Step 3: Create a single-page voice guide
You don't need a 40-page brand bible. You need one page that covers: your three pillars with examples, words you use and words you avoid, and your tone in different contexts (support vs. marketing vs. social). If a new team member can read it in five minutes and immediately write better copy, it's working.
Step 4: Apply it to every customer touchpoint
Your voice guide is worthless if it only lives in a Google Doc. Apply it everywhere — from your 404 page to your shipping confirmation email to your Instagram bio. Consistency across touchpoints is what turns a shopper into a repeat customer and a repeat customer into a brand advocate.
